Your wedding timeline sets the pace for your entire day—and getting the timing right is one of the most important (and overlooked) parts of planning. While your planner or coordinator will handle logistics and flow, your photographer plays a crucial role in shaping your photo timeline so that everything from portraits to candids happens smoothly and naturally.
Here’s how I help my couples create a timeline that’s realistic, relaxed, and designed to capture all the moments that matter.
Why Your Photography Timeline Matters
A thoughtful photo timeline ensures:
- You’re not rushed or stressed
- You get beautiful light for portraits
- You don’t miss out on meaningful moments
- Your day flows in a way that feels good—not chaotic
As your photographer, I’m always thinking about light, emotion, and pacing. The timeline we create together helps ensure the images reflect your story without feeling rushed or overly structured.
When We Start Building Your Timeline
I typically start working on your photography timeline about 2 months before your wedding. By then, we’ve usually had a few conversations about your priorities, your venue, and your general flow of the day.
If you’re working with a planner (which I highly recommend!), I’ll collaborate with them directly to make sure our timelines are synced and nothing gets overlooked.
What I Consider When Building Your Photo Timeline
Here’s what I take into account when building a custom photo timeline:
Lighting
Golden hour portraits? Ceremony in full sun? Indoor reception with candles only? I plan around natural light to ensure you get the best possible images at every part of the day.
Travel Time Between Locations
Getting ready in one spot and having your ceremony in another? I always factor in drive time and buffer room for traffic or delays.
Your Priorities
Do you want a first look? Family portraits before the ceremony? More candids and less posing? I tailor the flow based on what matters most to you.
Cultural or Religious Elements
If your celebration includes a tea ceremony, baraat, or multi-part religious service, I account for the rituals and transitions so nothing feels squeezed in.
A Sample Photography Timeline (with a First Look)
Every wedding is different, but here’s a sample 8-hour timeline that includes a first look:
1:00pm – Photographer arrives, begins documenting details & getting ready
2:30pm – First look & couple’s portraits
3:15pm – Wedding party portraits
4:00pm – Family portraits
4:30pm – Guests begin arriving / couple freshens up
5:00pm – Ceremony
5:30pm – Cocktail hour & candid coverage
6:30pm – Dinner begins / toasts
7:00pm – Sunset portraits (golden hour!)
8:00pm – Dancing begins / open floor
9:00pm – Photographer departs
We can adjust the structure based on your vision, guest count, and venue lighting—but this gives you a sense of how the day can feel balanced and smooth.
Common Timeline Mistakes I Help You Avoid
Cramming Too Much In
Photos take time—and you’ll want moments to breathe. I help you build in margin so you’re not constantly “on.”
Not Accounting for Transition Time
Walking across a property in heels, greeting guests, or pinning boutonnieres? These things add up. I pad in extra time for transitions so we’re never rushed.
Skipping the Golden Hour
Some of the most magical portraits happen just before sunset. I always try to carve out time during this window for soft, flattering light.
Forgetting to Communicate Photo Groupings
We’ll talk in advance about your family photo list so you don’t have to think about it on the day-of. I’ll guide the flow so everyone is where they need to be, when they need to be there.
Working Together with Your Planner
If you’re working with a planner or coordinator, I’ll work closely with them to build a seamless timeline. While your planner focuses on logistics, I’m focused on light, pacing, and photography moments. Together, we’ll create a plan that ensures everything flows.
And if you don’t have a planner? No problem—I’ll help you structure the photography portion of your day so it feels natural and easy.
